  1. ABOUT THIS POLICY

This Privacy Policy explains how VR Tech Pte. Ltd. (“VR Tech”, “we”, “us” or “our”) collects, uses, stores and discloses personal data when you use the ViXSYM mobile application, the vixsym.com website and related services.

ViXSYM is a personal and group expense-management application. ViXSYM does not operate as a bank or digital wallet, does not hold customer funds and does not collect your online banking password or payment-card details.

  1. INFORMATION WE COLLECT

Account and profile information

We may collect your mobile number, authentication identifiers, display name, username, profile image and other information you choose to add to your profile.

Financial organisation records

We process information that you or other authorised group participants enter into ViXSYM, including expense amounts, currencies, descriptions, dates, split-bill shares, group-fund contributions, merchant-payment records, borrowing and lending records, recurring-payment records, settlement statuses and the people connected to those records.

These records help users organise and coordinate payments. They are not bank statements, and ViXSYM does not take custody of the money recorded in the app.

Groups and communications

We may process group names, group membership, administrative roles, invitations, chat messages, system messages and activity records required to provide group functions and maintain a reliable transaction history.

Contacts and invitations

If you grant contact permission or use a contact-based feature, ViXSYM may process the contact information needed to find existing users or prepare an invitation. You should only provide another person’s information where you are authorised to do so. Device permissions can be managed through your phone settings.

Device and technical information

We may process device type, operating system, app version, push-notification token, IP address, security signals, timestamps, error logs and diagnostic information required to operate, secure and troubleshoot the service.

Support information

When you contact us, we may retain your email address, message, attachments and the information needed to investigate and respond to your request.

Website information

When you visit vixsym.com, our hosting provider may process basic technical logs and essential cookies needed to deliver and secure the website. We do not use the website to collect payment-card details.

  1. HOW WE USE PERSONAL DATA

We may use personal data to:

• create and authenticate your account;
• provide expense tracking, split bills, group funds, recurring payments, borrowing, lending and settlement features;
• display shared records to the relevant group participants;
• send transaction, reminder, security and service notifications;
• provide customer support;
• prevent fraud, abuse and unauthorised access;
• maintain service reliability and investigate technical problems;
• comply with legal obligations and enforce our terms;
• improve ViXSYM using aggregated or appropriately de-identified information; and
• manage consent and respond to privacy requests.

We will not use personal data for a materially different purpose without providing appropriate notice and obtaining consent where required.

  1. GROUP INFORMATION

Information entered into a shared group may be visible to the members of that group according to their role and the relevant feature. Group administrators may have additional permissions to create, confirm, reject or settle certain records.

Before entering information about another person, ensure that it is accurate and that you are authorised to share it. Removing a member or deleting an account may not remove historical group records where retaining those records is necessary to preserve an accurate ledger for the remaining participants.

  1. PAYNOW AND EXTERNAL PAYMENTS

ViXSYM may help users prepare or coordinate PayNow payments. The payment itself is completed through the user’s bank or payment provider. ViXSYM does not receive your banking password and does not control whether an external payment succeeds.

Information submitted to a bank, payment provider or third-party application is governed by that provider’s privacy policy.

  1. SERVICE PROVIDERS

ViXSYM uses service providers to operate the app and website. These may include Google Firebase and Google Cloud services for authentication, database storage, cloud functions, security checks, file storage and push notifications, as well as Apple and Google services used to distribute the app and deliver platform functionality.

These providers may process data on our behalf under their applicable terms and privacy safeguards. We may also disclose information to professional advisers, regulators, courts, law-enforcement authorities or other parties where required or permitted by law.

We do not sell personal data.

  1. AFFILIATE LINKS AND THIRD-PARTY SERVICES

ViXSYM may display optional links or offers from third-party providers. If you choose to open an external offer, the provider may collect information under its own privacy policy. Purchases and bookings are completed directly with the third party.

  1. INTERNATIONAL DATA TRANSFERS

Some service providers may process or store information outside Singapore. Where personal data is transferred internationally, we take reasonable steps to use providers and safeguards intended to provide a standard of protection comparable to applicable Singapore requirements.

  1. DATA RETENTION

We retain personal data only for as long as reasonably required to provide the service, maintain accurate shared records, resolve disputes, prevent abuse and meet legal or operational requirements.

Retention periods may vary according to the type of information. Certain shared transaction records may remain after an individual account is deleted where removing them would compromise another user’s legitimate group history. Where appropriate, personal identifiers may be removed or limited instead.

  1. SECURITY

We use reasonable administrative and technical safeguards designed to protect personal data, including authenticated access, access controls, security rules, encrypted network connections and service-integrity checks.

No internet or storage system can be guaranteed to be completely secure. Users should protect their devices, verification codes and accounts and should notify us promptly if they suspect unauthorised access.

  1. CHILDREN AND YOUNG USERS

ViXSYM is not intended for independent account creation by children under 13.

Users aged 13 to 17 should use ViXSYM only with the consent and supervision of a parent or legal guardian. A parent or guardian who believes that a young person has provided personal data without appropriate consent may contact us so that we can review the account and take appropriate action.

ViXSYM is not classified or presented as an app made specifically for children.

  1. YOUR CHOICES AND REQUESTS

Subject to applicable law, you may request access to or correction of your personal data, withdraw consent, object to certain processing or request deletion of your account and personal data.

You may manage available permissions and notification settings through ViXSYM or your device settings. You may also use any account-deletion option provided in the app.

Some information may need to be retained for legal, security or shared-ledger integrity reasons. We will explain any applicable limitation when responding to a request.

  1. CHANGES TO THIS POLICY

We may update this Privacy Policy when ViXSYM, our providers or legal requirements change. We will publish the revised policy with an updated date and provide additional notice where a change materially affects users.
